Privacy policy

Highlighted text in brackets is still to be completed by Bhavi Ventures Private Limited.

This policy explains what personal data Vyaparvani handles, why, and the rights you have. It is written for India's Digital Personal Data Protection Act, 2023 (DPDP Act). Vyaparvani is operated by Bhavi Ventures Private Limited (“we”, “us”).

Who is responsible

There are two kinds of people whose data we handle:

  • Our customers: the businesses that subscribe to Vyaparvani and their staff. For their account data we are the Data Fiduciary.
  • Their customers: the people who message or call a shop. The shop decides why their orders are collected and is the Data Fiduciary; we process that data on the shop's behalf and on its instructions.

What we collect

  • Account data: business name, owner and staff names, email, phone number, city, login records.
  • Order data: WhatsApp messages, voice notes, photos, phone call audio and transcripts, the orders built from them, and the phone numbers and names of the shop's customers.
  • Business content: catalogues, price lists, policies and documents the shop uploads.
  • Payment data: the plan bought, amount and PhonePe order status. Card, UPI and bank details are handled by PhonePe and never reach us.
  • Technical data: IP address, browser and device details, and logs used to keep the service secure.

How we use it

  • To run the service: understand orders, reply to customers, read orders back on calls, send confirmations, and pass confirmed orders to the shop's billing software.
  • To answer customers' questions using the shop's own catalogue and documents.
  • To support the shop, keep the service secure, prevent abuse and meet legal obligations.
  • To improve accuracy for that same shop (for example, learning its item names). We do not use one shop's data to serve another shop, and we do not sell personal data or use it for advertising.

Service providers

We use the following providers to run Vyaparvani. Some process data outside India; each is bound to use it only to provide its service to us.

ProviderWhat they do for us
Fly.io (Singapore)Hosting of the application server, uploaded files and call recordings
Neon (Singapore)Database: orders, customers, messages, call transcripts, account data
Neo4j Aura, Qdrant CloudSearch indexes built from the shop's catalogue and documents
GroqSpeech-to-text of calls and voice notes; drafting replies and reading orders
Google Cloud Text-to-SpeechThe assistant's spoken voice on calls
Meta (WhatsApp Business Platform)Sending and receiving WhatsApp messages
Voicelink / ExotelPhone numbers and carrying phone calls
PhonePeCollecting subscription payments (we never see card or bank details)

Calls and recordings

Phone calls answered by the assistant are recorded and transcribed so the order can be written up and checked. Callers should be told this at the start of the call; the shop is responsible for any notice its own customers need.

How long we keep it

We keep order data and recordings while the shop's account is active, and delete them within [90] days of the account being closed, except where the law requires us to keep records (for example, invoices and payment records). Backups are overwritten within 14 days.

Security

Each shop's data is kept separate and is only visible to that shop's logins. Connections are encrypted; passwords are stored hashed; secrets for each shop's WhatsApp and phone connections are encrypted. Access by our team is limited to what is needed to support the service.

Your rights

Under the DPDP Act you may ask to access a summary of your personal data, correct or update it, have it erased, withdraw consent, and nominate someone to exercise these rights for you. A shop's customer should usually write to the shop first; we help the shop respond. You may also complain to the Data Protection Board of India.
